Development Associate

Overview

Greenwich Historical Society seeks a Development Associate to join a fast-paced fundraising team.  This position reports directly to the Director of Development (DOD) and will help with donor activity including stewardship, gift entry and acknowledgments in Raiser’s Edge and assistance with administrative tasks.  The Development Associate will spend dedicated time each week on administrative work for current Capital Campaign to raise $7.5M in funding work in support of the Campaign consultants and DOD.  In addition, the Development Associate will provide administrative and hands-on support for fundraising meetings and events.

Responsibilities

The primary function of this role is to support all Development work of Greenwich Historical Society under the direction of the DOD and in coordination with the Director of Marketing.  Responsibilities include:

Donor Stewardship and Gift Management (25% of time)

  • Manage donor and prospect information in Raiser’s Edge
  • Respond to donor inquiries and support membership outreach and renewal process
  • Record all gifts and pledges in Raiser’s Edge and link back to donor opportunities, saving copies of all correspondence and materials
  • Follow gift processing protocol for all general and Campaign gifts
  • Record naming opportunities and recognition wording, including gifts that are made in honor or memory of others
  • Draft and send formal acknowledgement letters
  • Notify appropriate staff of large or special gifts to initiate personal thank you process

Events/Meetings (20% of time)

  • Work with DOD, staff and Board leadership to create lists for invitations and special meetings
  • Assist DOD at Development Committee and Event planning meetings including note taking and distribution of minutes to meeting participants when necessary
  • Assist with event and meeting coordination including technology set up and oversight
  • Assist with tracking gifts for fundraising special events
  • Assist with two major annual fundraising events, annual meetings, and a thank you event for major donors including participant tracking and acknowledgement of gifts
  • Prepare and provide follow-up support for special event communications
  • Manage space reservations and calendar meeting stewardship for all Development and Campaign Activity and meetings in coordination with DOD

Campaign (30% of time)

  • Record and track all Campaign gifts and pledges
  • Follow the gift protocol including notification of solicitors, deposits, and record-keeping
  • Provide donors with information on how to make a gift including information on stock gifts and wire transfers as needed
  • Provide Campaign solicitors and DOD with necessary solicitation support and materials including Development collateral campaign booklet, pledge form and updated naming opportunities
  • Help DOD and Campaign Consultants prepare reports for all donations including the Capital Campaign gifts
  • Send pledge payment reminders

Public Programming/Event/Donation Support (25% of time)

  • Create program and/or event in Raiser’s Edge
  • Create program/event/donation form to insert on website for registration/payment
  • Create attributes as needed for above forms
  • Ensure that emailed acknowledgement of registration through a form contains additional information, i.e. zoom link or parking instructions
  • Assure appropriate staff receive emails upon registration(s)
  • Monitor on line registrations for capacity of event/program
  • Download and process on-line registrations/donations as needed

Qualifications include

  • Knowledge of Raiser’s Edge or demonstrated ease with learning new technologies
  • Excellent Organizational skills and keen attention to detail
  • Proficiency with Microsoft Office Suite and Zoom communications and set-up
  • Strong written and communication skills
  • Professional and friendly in demeanor
  • Flexible and willing to learn new tasks
  • Ability to work independently but comfortable with working with a diversity of personalities and work styles
  • Minimum 2 years CRM and fundraising experience

Compensation:

This position is a 30- hour work week.  Salary: $40,000 plus benefits, including health and vacation.
