Status: Full-Time Non-Exempt

Hours: Tuesday-Saturday 8:30a.m.- 4:30p.m; but must be available for “on-call” emergencies and occasional weekend/evening events.

Salary: $65-75,000 annually, commensurate with experience.

About the Greenwich Historical Society

The Greenwich Historical Society—an essential cultural institution dedicated to preserving and sharing the rich history of Greenwich—is seeking an experienced Facilities Manager.

Founded in 1931 as an organization devoted to collecting the Town’s history, Greenwich Historical Society (GHS) has grown into a nearly 3-acre campus with nationally significant historic buildings, a new 10,000 sq. ft. facility with museum, library, and visitor center, and a multi-faceted range of programs and activities. 

Position Summary

The Facilities Manager (“Manager”) oversees the complex GHS campus at 47 Strickland Road in Cos Cob, blending the technical demands of a modern museum and library building with the sensitive preservation needs of the site’s historic structures and landscape. 

The Manager ensures the safe, efficient, and professional operation and maintenance of all campus buildings and grounds, including modern exhibition galleries, library/archives, the Bush-Holley House, Storehouse, Brush House, Toby’s Tavern, and visitor’s center. This role balances high-level project management—such as overseeing capital projects—with hands-on maintenance, repairs, and supervision of custodial staff.

This full-time non-exempt status position reports to the Director of Finance and Operations “Director”, collaborating with them to prioritize and budget for long term and immediate needs.


Primary Responsibilities

Building & Grounds: 

Oversee the day-to-day operations and maintenance of all GHS buildings, including HVAC, plumbing, electrical, and security systems, across both modern and historic buildings to ensure all spaces are clean, safe, and welcoming for visitors; open site buildings and galleries for visitors by 9:00 a.m. and prepare for closing at 4:30 p.m. unless evening activities are planned.

Provide technical assistance and support to all departmental maintenance and construction needs, including exhibitions.

Work with Director and Board Preservation and Landscape Committee to develop and implement an annual and 5-year maintenance calendar, creating a log of all maintenance performed.

Oversee custodial work and general campus cleanliness/hygiene.

Monitor and maintain GHS systems and equipment, prioritizing and carrying out major repairs as needed.

Collaborate with the Director to ensure annual building licenses and inspections.

Perform seasonal landscaping needs, including leaf collection and removal.

Assist with program and event set up and break down.

Oversee trash and recycling removal, coordinating with sanitation contractor as needed.

Schedule snow removal, assisting with path and walkway salting/upkeep as needed.

Supervision: 

Schedule, direct, and oversee the work of a part-time custodian, ensuring they have adequate and appropriate supplies and equipment. 

Schedule and manage external contractors and vendors for specialized repairs and maintenance (e.g., electrical, security systems).

Oversee outside vendors for large scale landscape projects (e.g. tree trimming, aeration).

Serve as the Project Manager for all CAPEX projects that utilize a 3rd party vendor (e.g. HVAC) including the procuring of competitive vendor bids. 

Collections Preservation: 

Monitor and maintain specialized climate-controlled environments for the library, archives, collections storage, and exhibition galleries to ensure artifact stability, working with the Senior Curator and Director of Library and Archives; respond to HVAC alarms as needed.

In collaboration with the Senior Curator and Director of Library and Archives, oversee integrated pest management (IPM).

Assist with art and collections movement using museum care and handling protocols.

Historic Preservation: 

Coordinate with the Senior Curator to ensure maintenance of historic buildings adheres to preservation standards and minimizes structural impact.

Support historic preservation initiatives.

Safety & Security: 

Act as the primary point of contact for emergency response; manage fire-life safety systems and OSHA compliance for the entire campus, collaborating with the Director on needed improvements.

Working with the Director, regularly update site emergency plan.

Project & Budget Management: 

Assist the Director in developing the facilities and CAPEX budgets, leading facility improvement projects from RFP through completion.


Qualifications

Education: High school diploma or GED required; associate degree from a community college or certifications in construction management or HVAC preferred.

Working knowledge of current federal, state, and local laws/regulations governing occupational safety, environmental compliance, life safety codes, building codes, and permitting.

Experience: 3–5 years of facility management experience including familiarity with the operation and maintenance of mechanical, electrical, and plumbing systems (MEP), life safety and security systems, building envelope systems (e.g. roofing, waterproofing), grounds and landscaping.

Previous work in a museum, historical society, or with historic building preservation is highly preferred. Experience with integrated pest management (IPM) also preferred.

Skills: Proficiency in Microsoft Office and basic carpentry or mechanical repairs.

Ability to coordinate activities, work collaboratively, and communicate with an array of stakeholders, including contractors, vendors, staff, and Board members.

Ability to read and understand bluebrints for construction and building systems.

Physical Requirements: Ability to stand, walk, climb, kneel bend, use ladders, and lift and/or move up to 25 pounds without assistance, 100 pounds with assistance, and work in varying weather conditions.
